Approach all the guests arriving at international airports (Rome and Milan) from all over Italy.
The difficulty was to collect guests participating at the incentive travel from small towns and transfer them to the final destination Kuala Lumpur.
The flights were departing from Rome Fco and Milan Mxp.
To avoid problems and to not create inconveniences to the 200 participants coming from different Italian cities (it was a travel award for all sellers who achieved the target set at the beginning of the year by the company) we scheduled shuttle bus to collect participants from each city to destination airports, in order to optimize the cost of the company and at the same time create a service ad hoc ensuring maximum comfort and minimum inconvenience to the participants.

Transfer around 300 guests arriving from around 100 different flights from Fiumicino airport to different hotels located in the city center on the same day.
The first problem we faced was to prevent clients from waiting for too long, especially for those arriving in Rome with an international and intercontinental flight.
The second problem was that guests were divided in different hotels in Rome.
The solution to the problems has been ensuring professional airport assistants waiting the flights arrival inside the custom area with nominal sign to accommodate the guests supported by other staff responsible to accompany guests individually or in small groups to the vehicles dedicated for the transfers at their own hotel.
Thanks to the creation of a network of staff at the airport dedicated to every single flight arrival, the guests didn’t have to wait at the airport because they were accompanied immediately at their vehicles to be transferred at their hotels.
It was organized a massive number of different types of private vehicles: sedan, vans, minibuses and coaches, so that we could optimize the number of transfers using the right type of vehicle based on the number of clients that need to be transferred.

Organize leisure activities for guests and their partners during the free time they had between a meeting and another.
Due to the difficulties of organize leisure activities for around 600 people of different nationality and so different cultures, ages we had to arrange and differentiate the tours offered during their free time, taking into account their needs, and organize also leisure free time during the work session of the partners who accompanied clients, so of around 300 people.
We selected cultural tours and visits to archaeological sites / Vatican Museums, Colosseum, Ancient Ostia Borghese Gallery for all 600 guests, focusing more on cultural itineraries that would interested all ranges of customers involved.
Leisure time for the partners of the clients (while they were in meeting), about 300 people, were organized in order to give different choices and embrace all categories. (Women and children); so they had the opportunity to choose between different tours like Zoo marine, Technotown, Rainbow Magicland (for moms with children) and Shopping tour with personal shopper for those interested in fashion, or relaxing day at beach resort or in fitness center and spa.
